This Privacy Policy explains how Swedlund, Moscoa & Associates Inc., doing business as Swedlund's Lawn & Power Sports ("Swedlund's," "we," "us," or "our"), handles information in connection with the shop-management application (the "Application") and related shop operations.
This policy describes the behavior established by the current Application. It does not promise that a feature will be used in every repair or that every listed provider is active at all times.
Depending on the shop workflow, the Application may handle:
Information is used to intake and communicate about service requests; identify customers and their equipment; schedule and perform work; record diagnoses, estimates, approvals, repairs, invoices, and payments; maintain service history; send requested transactional messages; manage shop operations; and support authorized accounting synchronization.
Customer-entered content and internal shop notes are used for the business purpose for which they were recorded. The Application does not require customers to enter card numbers or CVV information into the invoice workflow.
Shop records are stored in the Application's database and related service systems used by the business. Access to shop-management functions is restricted by server-side administrative authorization and account roles. The Application uses server-side sessions and keeps QuickBooks authorization tokens on the server rather than returning them to the browser.
OAuth state values are stored for one-time authorization validation. QuickBooks access and refresh tokens are encrypted before being stored. These practices reduce exposure, but no method of storage or transmission can be represented as completely secure.
When an owner connects QuickBooks Online, the Application receives authorization to work with the selected QuickBooks company. The current integration accesses company information and the existing shop class during connection verification; it can read QuickBooks customers for matching and reads QuickBooks classes and service items needed for accounting setup.
The integration can create or match customer records and synchronize finalized local invoices and recorded payments to the connected QuickBooks company. It may transmit names, contact details, address information, customer references, invoice dates and numbers, invoice line descriptions and amounts, payment dates and amounts, and related local identifiers needed for idempotent synchronization.
QuickBooks data is accessed only to verify the connection, support matching, and perform the authorized accounting synchronization. Intuit handles data within QuickBooks under its own terms and privacy practices. The Application does not store card numbers, CVVs, or raw payment credentials.
When an owner disconnects QuickBooks in the Application, the Application attempts to revoke the Intuit authorization, removes the locally stored encrypted access and refresh tokens, clears the local connection metadata, and stops new QuickBooks synchronization until a new authorization is completed.
Disconnecting does not automatically delete records that were already transmitted to the QuickBooks company. Those records and any further revocation controls in QuickBooks must be managed in QuickBooks or through Intuit. Pending local records remain in the Application and can continue to be used locally.
The Application may use service providers that support its actual configuration and requested workflows, including:
These providers may process information necessary for the service they provide. Their own terms and privacy policies apply to their handling of information. Stripe payment collection is disabled in the current application; the local shop payment workflow records completed payments rather than collecting card details.
The business retains customer, equipment, repair, invoice, payment, and accounting records according to its operational, legal, tax, and accounting needs. The current Application does not establish a single automatic deletion period for these records.
A person may contact the business to ask about information associated with them or request correction or deletion. Swedlund's will review the request and applicable business, legal, accounting, security, and third-party obligations before acting. Deleting or changing a local record may not delete a copy already sent to QuickBooks, an email provider, a media provider, or another service.
Individuals may contact Swedlund's with questions about their information, request correction of inaccurate details, ask whether information is being handled in the Application, or ask about a deletion request. Marketing recipients may use an unsubscribe link when provided. Transactional messages related to an active service relationship may still be necessary for the shop to operate the requested work.
Requests may require enough information to identify the relevant customer or record. The business may retain information when necessary to complete a repair, resolve a dispute, maintain accounting records, comply with law, or protect the Application and its users.
Swedlund's may update this policy when the Application, providers, business practices, or legal requirements change. The current version will be posted at /privacy with a revised effective date.
